This notice explains how The Network Getaway, organised by Clyde Region (Scouts Scotland), uses your personal information. Draft for approval by Clyde Region before launch.
Who we are
The Network Getaway is organised by Clyde Region Scouts. Clyde Region is the data controller for this event. Contact the event team using the email address on this site.
What we collect and why
Registering interest: your first name, email and Network so we can tell you when booking opens. Booking: names, emails, date of birth and Scouts membership number to run the event and check it's for Network members. Health and support needs, dietary needs and an emergency contact, so we can keep you safe and feed you properly. Payment is handled by Stripe; we never see your card details.
Health information
Health information is special category data. We only collect it with your explicit consent, which you give yourself through your own link. It is encrypted, only seen by the people who need it (for example first aid), every look is logged, and you can withdraw consent at any time.
Who sees your information
Only event volunteers with a role that needs it. Check-in volunteers see your name and ticket, not health information. We use trusted processors to run the service: our UK/EU hosting provider, our email provider and Stripe for payments.
How long we keep it
Booking and health information is deleted 60 days after the event. We keep a minimal payment record for 6 years for accounting, as charities must. Interest list details are kept until you ask us to remove them or after the event.
Your rights
You can ask for a copy of your information, ask us to correct or delete it, or object to how we use it. Contact the event team. If you're unhappy with how we've handled your information you can complain to us, and to the Information Commissioner's Office (ico.org.uk).
